BeachPoint Cottages Terms and Conditions – Please read this entire document carefully as your stay at BeachPoint Cottages is subject to the following.
NON-COMPLIANCE WITH THESE RULES CAN RESULT IN EVICTION. BeachPoint Cottages reserves the right to cancel any reservation subject to issuing a full refund.

It is BeachPoint Cottages’ goal to provide our guests with a clean and functional vacation cottage. The terms & conditions in this document are designed to ensure that these properties are kept in this condition for all of our guests. Please read them carefully, and understand that your payment of the booking deposit will confirm your acceptance of these terms and conditions.

 

CHECK-IN: 3:00 pm ET   CHECK-OUT: 11:00 am ET
AFTER HOURS CHECK-INS:  We provide a door code and access information for guests planning a late arrival.

DEPOSIT PAYMENT: 35% of the total reservation is required at the time of booking to hold the reservation. This deposit is fully non-refundable for specific dates – see cancellation section below.
BALANCE PAYMENT:  Your final balance is due a minimum of 30 days (non-refundable dates) or 14 days (refundable dates) prior to your arrival. Although we generally send courtesy reminder texts, is the guest’s responsibility to contact us directly to pay the balance ahead of arrival.
TAX and FEES: All accommodations are subject to 13% Sarasota County/FL State Accommodation Tax. This is included in pricing on our website.

 

CANCELLATIONS: WRITTEN NOTICE IS REQUIRED FOR ALL CANCELLATIONS.
The time factor is critical in vacation rentals and your deposit will hold this rental off the market for a period of time. We have both refundable and non-refundable reservation dates.

Non-refundable Dates: Deposits paid for reservations for stays between December 17 – May 31 and for all holidays (July 4th, Thanksgiving, Christmas, New Years, Memorial Day & Labor Day)  are fully nonrefundable. The final balance payment must be made at least 30 days prior to your arrival. The balance payment is non-refundable once made. We highly suggest travel insurance.

Refundable Dates:  Deposits paid for reservations between June 1 and December 16 (with the exception of holidays*) are refundable under the following conditions:

  • If the reservation is cancelled in writing more than 60 days before arrival, deposit funds will be refunded minus a $50 administrative fee.
  • If cancelled less than 60 days in advance, the deposit will be forfeited.
*HOLIDAYS: Day of and some surrounding dates for the following: July 4th, Thanksgiving, Christmas, New Years, Memorial Day & Labor Day.

 

 

TRAVEL INSURANCE:  We highly suggest trip insurance. The purchase of travel insurance is strongly recommended to cover circumstances arising that will prevent you from taking your vacation. Guests who purchase travel insurance may be provided refunds (from the insurer) for cancellation or trip interruption subject to the terms and conditions of their selected travel insurance policy. If you elect to decline to purchase this type of coverage, you do so fully understanding our cancellation policy.

When you purchase travel insurance, you can select the level of coverage you wish.  Due to the uncertain nature of weather and coastal conditions, many guests choose to purchase coverage for that type of event – including hurricanes or coastal conditions, transportation problems and weather events.  Those events do not change the terms of our cancellation policy.

You can compare insurance providers and purchase trip insurance through travel agents or insurance companies. We do not offer insurance, but you can also find options online here.  Travel insurance options include cancellation, interruption of trip, weather conditions, medical evacuation and medical insurance.

There is no refund for early departure due to rain, red tide or other natural disasters.  Again, we suggest travel insurance. Guests covered under travel insurance may be exempt from this loss if the reason for cancellation is covered under the policy.

TRIP INTERRUPTION: If guest shortens their stay resulting in an early departure after they have checked in, no refunds will be provided for the nights not used. If a non-arrival, late arrival, early departure, cancellation or alteration results in a loss of revenue to BeachPoint Cottages, it will be charged to the guest. The loss can be avoided if travel insurance is purchased and the reason for cancellation is covered under the travel insurance policy.

HURRICANES: Trip insurance is recommended.  A potential storm does not change our cancellation policy. Only if there is a mandatory evacuation of Siesta Key, will guests be refunded for the specific nights of the evacuation.

 

OCCUPANCY: Maximum occupancy is clearly stated on our website for each specific cottage. Children are defined as 12 and under. Over age 12 is considered an adult for purposes of occupancy. BeachPoint Cottages reserves the right to refuse occupancy or evict guests if maximum occupancy is exceeded in a cottage.

 

DOG POLICY: BeachPoint Cottages is dog friendly, but if you are bringing any animal, it must be pre-approved and registered with us at the time your reservation is made. See the full details of our dog policy here.
Dogs are permitted in selected cottages, but only with the pre-approval of BeachPoint Cottages. We require the name, weight, age and breed at time of registration. There are strict limitations on weight (30 lbs or less) and breed. Let us know about your canine companion when you request a reservation. Dogs are permitted in selected cottages only. We do not accept reservations without guaranteeing a particular room until check-in. We are not set up like a short-stay hotel.

For all approved dogs, there will be a $20 per night non-refundable cleaning charge per dog. Guests are limited to one dog per cottage (unless otherwise authorized in writing).

We reserve the right to refuse occupancy if a guest arrives with an animal that has not been pre-approved by management. Dog cleaning fee must be paid before arrival. Evidence of unapproved animals on premises may result in eviction.

All dog breeds must be approved by BeachPoint Cottages’ and have a friendly temperament to strangers (other guests, maintenance contractors, owners, children, other pets on property, etc.) Dog(s) must be completely house-trained and not have any chewing, scratching or digging habits. All dogs must have current shots and currently be treated for fleas. Dogs will be kept on leash when outside of the cottage.

Sarasota County has a leash law and does not permit dogs on the beach on Siesta Key. If you have any questions or concerns regarding making a reservation with a dog, please call or email us before making a reservation.

 

ALL SUITES ARE NON SMOKING: There is no smoking inside any accommodation. Any evidence of smoking in suites (odor, evidence of smoke detector tampering, ashes, butts, burn marks or holes, etc.) will result in an automatic $300.00 fee plus any expenses incurred to remove smoke damages.
If you smoke in the unit’s patio area, all windows and doors must be closed to keep smoke out. We provide outdoor ashtrays in common areas, but please respect others. Please do not smoke in common areas, covered tikis or other areas with non-smoking guests. We provide outdoor ashtrays and expect no cigarette butts elsewhere.

 

CONFIRMATION OF RESERVATION: A confirmation of your reservation request will be promptly emailed to you during business hours when you book online. You should immediately check to confirm that the dates and other details are correct. If not received within two hours during business hours, please contact the office to resend it.  Check your email (or spam) for the subject line: “BeachPoint Cottages has received your Reservation Info”.  Reply to this email confirming the information and accepting the Terms & Conditions. On receipt, we will contact you for your deposit.

 

ACCIDENTS, INJURY OR LOSS: The owners, staff and management of BeachPoint Cottages are not responsible for accidents, injury, or loss of personal belongings of any kind. Guests shall indemnify and hold harmless BeachPoint Cottages from any and against all liabilities, claims, expenses, fees, loss of use of actions of any and any kind arising out of renters or their guests use and occupancy of the premises and amenities. The management is not responsible for accidents, injury or loss of personal belongings of any kind.

 

ACCEPTANCE OF TERMS AND CHARGES:
By checking the “I have read and I accept the terms and conditions for this booking” box on the website, guest hereby acknowledges that guest has read the above reservation rental agreement and agrees to all terms of this agreement. If you have any questions not included here or answered on our FAQ page, you should contact us to obtain answers before agreeing to the Terms and Conditions.

Reservations Made by Telephone:
If you elect to have BeachPoint Cottages make a reservation for you by telephone, the system will automatically send you a confirmation email containing a link to our terms and conditions. Your payment of the deposit will be your acceptance of those terms and conditions.

Guest hereby authorizes BeachPoint Cottages to charge guest’s credit card for all charges arising from guest’s stay at this property, including but not limited to unpaid rents, damages / lost rents due to damages, pet damages, smoking evidence, or any other damage or expense incurred by guest’s stay.

BeachPoint Cottages reserves the right to change these terms and conditions at any time without prior notice. In the event that any changes are made, the revised terms and conditions shall be posted on this website immediately. Please check the latest information posted herein to inform yourself of any changes.
